Privacy Policy

Via Nova Academy ("Via Nova," "we," "us," or "our") provides classroom tools for teachers and schools. This Privacy Policy explains what information we collect, how we use it, and how we share it.
This draft should be reviewed before publication. If a school or district agreement conflicts with this Privacy Policy, the signed agreement controls for that customer.
Information We Collect
Teacher and administrator information
We may collect:
- Name.
- Email address.
- Authentication information.
- Account settings.
- School or organization information.
- Support communications.
- Billing or subscription-related information, if applicable.
Student information
Teachers or schools may provide or create student information in Via Nova, including:
- Student display name chosen or edited by the teacher.
- Student email address for invitations and authentication.
- Optional SIS ID or school student ID when needed for school-approved workflows.
- Class enrollment and team/house membership.
- Avatar, badge, title, and classroom presentation state.
- Scores, grades, quiz attempts, quiz submissions, point events, and classroom activity records.
- Sanitized student-facing presentation data derived from teacher-controlled fields.
Technical and usage information
We may collect:
- Device, browser, and log information.
- Authentication and security logs.
- Error and diagnostic information.
- Feature usage needed to provide, secure, debug, and improve the service.
How We Use Information
We use information to:
- Provide and operate Via Nova.
- Authenticate users.
- Manage classrooms, rosters, quizzes, scores, badges, points, teams, and student dashboards.
- Send student invitation emails.
- Support teacher-initiated exports for official school workflows.
- Secure the service and prevent misuse.
- Troubleshoot and improve the product.
- Comply with legal, contractual, and operational obligations.
Student Data and AI
Student personally identifiable information and education-record data are never sent to AI services.
Via Nova uses AI only for teacher/admin content generation, such as quiz/test questions and team avatars. Students do not have direct access to AI through Via Nova. See the AI Use Policy for additional detail.
COPPA and School-Authorized Use
Via Nova is designed for school-authorized classroom use, not direct-to-child consumer use. When Via Nova is used by a teacher, school, or district, the school may authorize Via Nova to collect and use child personal information for the school's educational benefit and for no unrelated commercial purpose.
Via Nova does not currently offer a direct parent/home account model or a direct verifiable parental consent workflow. Parent or guardian requests about child information should generally be made through the school unless Via Nova has a direct relationship with the parent or guardian.

How We Share Information
We share information only as needed to provide and operate the service, comply with law, or support authorized school workflows.
Service providers include:
- Google Firebase / Google Cloud for authentication, hosting, database, storage, functions, logs, and infrastructure.
- Google Sheets / Google Drive APIs for teacher-initiated exports.
- Google Gemini API for teacher/admin content generation, without student PII.
- Resend for transactional invitation email.
We do not sell student personal information. We do not use student personal information for targeted advertising.

Google Sheets Exports
Teachers may export data to Google Sheets for legitimate school workflows, including SIS import. Depending on the selected export profile, exports may include student names, scores, SIS IDs, or student email addresses.
Teachers are responsible for using school-approved destination accounts and handling exported spreadsheets according to school policy.
Via Nova audit logs PII-bearing exports.
Student-Facing Classroom Data
Via Nova may show students classroom presentation data that is intentionally visible to classmates, such as teacher-controlled display names, avatars, team/house membership, public badge/title state, ranks, point totals, and published leaderboard data.
Private student records, emails, formal grades, teacher-entered scores, raw score-entry data, and operational telemetry are not intended for peer visibility. Student-facing points, rankings, badges, ribbons, team/house results, and other classroom presentation data may be visible to classmates when configured or published by the teacher.
Data Retention and Deletion
We retain information as described in our Data Retention and Deletion Policy. Authorized teachers, schools, districts, or account owners may request deletion of eligible data.
Security
We use administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee perfect security, but we work to limit access, protect data, and monitor for issues.
School and Teacher Responsibilities
Teachers and schools are responsible for:
- Ensuring they have authority to use Via Nova with students.
- Providing notices or obtaining consent where required by school policy or law.
- Managing who has access to their classes.
- Using school-approved workflows for exports and student identifiers.
- Reviewing AI-generated content before use.
Children's Privacy
Via Nova is intended for use under the direction of teachers, schools, or parents/guardians where applicable. Students should use Via Nova only when invited or authorized by a teacher or school.
Via Nova does not intentionally collect child home addresses, phone numbers, birthdates, precise geolocation, biometric data, photos/videos/audio of the child, or parent contact information unless a future feature is separately reviewed and documented.
International Processing
Via Nova and its service providers may process information in the United States and other locations where they operate. Service providers are expected to protect information under their applicable data processing and security terms.
Changes
We may update this Privacy Policy from time to time. We will update the effective date when changes are made. Material changes may be communicated through the service or another reasonable method.
