COPPA Notice for Schools and Parents

Effective date: June 1, 2026

This COPPA Notice explains how Via Nova Academy ("Via Nova," "we," "us," or "our") handles personal information from children when Via Nova is used by a teacher, school, or district for educational purposes.

This notice should be read with the Privacy Policy, Student Data and FERPA Commitments, Data Retention and Deletion Policy, and Vendor and Subprocessor Disclosure.

School-Authorized Use

Via Nova is designed for school-authorized classroom use, not direct-to-child or direct-to-parent consumer use.

When Via Nova is used by a teacher, school, or district, the school may authorize Via Nova to collect and use child personal information for the school's educational benefit and for no unrelated commercial purpose.

Via Nova does not rely on students to create their own classroom access. Students join through a teacher-created roster and invite flow.

Child Personal Information We May Collect

Teachers or schools may provide or create:

  • Student display names chosen or edited by the teacher.
  • Student email addresses used for invitations and authentication.
  • Optional SIS IDs or school student IDs when needed for school-approved workflows.
  • Class membership and team/house membership.
  • Avatar, badge, title, leaderboard, and classroom presentation state.
  • Scores, quiz attempts, quiz submissions, point events, and classroom activity records.
  • Authentication, security, diagnostic, and usage information needed to provide and protect the service.

Via Nova does not intentionally collect child home addresses, phone numbers, birthdates, precise geolocation, biometric data, photos/videos/audio of the child, or parent contact information unless a future feature is separately reviewed and documented.

How We Use Child Information

Via Nova uses child information only to:

  • Provide and operate classroom features.
  • Authenticate students and manage class access.
  • Support quizzes, points, badges, teams/houses, dashboards, and classroom presentation features.
  • Send class invitation emails.
  • Support teacher-initiated exports for official school workflows.
  • Secure, debug, maintain, and improve the service.
  • Comply with legal, contractual, security, and operational obligations.

Via Nova does not sell child personal information, use it for targeted advertising, or send student PII or education-record data to AI services.

Vendors

Via Nova uses limited service providers to operate the service. Current providers are listed in the Vendor and Subprocessor Disclosure.

Vendors may process child personal information only as needed to provide Via Nova, support authorized school workflows, secure the service, or meet legal and operational obligations. Via Nova expects service providers to process child information under applicable confidentiality, security, and use-limitation obligations.

Parent and School Rights

Schools, parents/guardians, and eligible students may have rights to review, correct, export, delete, or prevent further collection/use of child information under applicable law and school policy.

Via Nova will support reasonable verified requests from authorized teachers, schools, or districts. Parent or guardian requests should generally be made through the school unless Via Nova has a direct relationship with the parent or guardian.

Requests can be sent to privacy@vianovaacademy.com.

Retention and Deletion

Via Nova retains child personal information only as long as reasonably needed to provide the service, support school workflows, protect security, maintain required audit logs, or meet legal and contractual obligations.

See the Data Retention and Deletion Policy for archive, deletion, export-audit, and backup information.

Via Nova's current product model is school-authorized use. Via Nova does not currently offer a direct parent/home account model or a direct verifiable parental consent workflow.

If Via Nova later offers direct-to-parent or direct-to-child use outside school authorization, Via Nova will review and update its COPPA process before enabling that use.
